Information for Exhibitors

01 March– All available exhibitor spaces have been reserved and SSA will not be accepting any additional exhibitor registrations unless there are cancelations. If you would like to be placed on a waiting list and notified if there are any cancelations (or have any other questions about exhibiting at the meeting), please email 2010exhibits@seismosoc.org.

Please note the shorter schedule:  Exhibit booths will be up Wednesday and Thursday only this year. 

Based on feedback from some of our exhibitors, we have decided to try a shortened schedule this year. 

Fees:
The exhibitor registration fee is $350 for SSA Corporate members and non-profit organizations, $450 for all others. 

The fee covers a 8' x 10' carpeted exhibit space with the following:
8' High Back Wall Drape
3' High Side Rail Drape
(1) 6' Draped Table
(2) Molded Plastic Chairs
(1) Wastebasket
(1) Exhibitor ID Sign

Wifi will be available in the exhibit hall.

Exhibitor registration fee also includes:
2 Exhibit-Only Passes*
2 Lunch Passes for Wednesday, Thursday and Friday
Breaks for 2 Staff Members
Invitation to the Ice Breaker Reception for 2 Staff Members

*Exhibitors do not have access to oral sessions (unless they have registered separately as a regular event attendee). If you would like to attend sessions, you may upgrade your pass for an additional $180 Per Person.

Exhibit set up:

    Tuesday, April 20, 12:00-6:00 pm

Exhibit Hall Hours:

    Wednesday, April 21, 7:00 am - 6:00 pm

    Thursday, April 22, 7:00 am - 6:00 pm

Exhibit take down:

    Thursday, April 22, 5:00-8:00 pm

The exhibitors are in the same room as the poster sessions and the breakfast buffet. The exhibit hall will therefore be open to all meeting attendees from 7:00 am to 6:00 pm Wednesday through Friday.   Exhibit booths will only be up on Wednesday and Thursday.  On Thursday evening, the hall will be reset to take down the booths and add more poster boards. 

Exhibitors are not required to be at their booths the entire time the exhibit hall is open. We recommend that exhibitors staff their booths during the breakfast hour (7:30-8:30 am), during the morning and afternoon breaks and additional times as they feel appropriate. Because of the posters, there will likely be traffic in the exhibit area throughout the day. It is the exhibitors responsibility to secure any valuables when they are not at their booths.

Exhibitors can take their booth down any time after 5:00 pm on Thursday, April 22.  Materials must be packed up no later than 8 pm on Thursday.  Please note that your registration includes breakfast, breaks, lunches, and posters on Friday if you want to stay after your booth is down.

Exhibitor Kits:
The decorator will make the exhibitor kit available in mid to late February.  At that time you can order additional furniture, electricity, etc.

If you have already registered as an exhibitor and wish to attend either of the field trips which will take place on the day following the meeting program (Saturday, April 24) you may do so using the regular (i.e., non-exhibitor) registration form.
